AI Disclaimer.

AI is a tool we use in our work. We use it openly, and we want you to know where it shows up in what we deliver. This page explains how AI is used across our services, what it means for the quality of your deliverables, and where the line sits between automated output and professional review.
How we use AI
We use AI (including Claude, Microsoft Copilot, and other tools) to help with:
- Drafting written content, from SOPs to client-facing documentation.
- Analyzing workflows, audits, and process maps.
- Building custom Claude projects, agent configurations, and automation logic for client operations.
- Reviewing, summarizing, and cross-checking documentation you send us.
- Generating training materials, outlines, and supporting visuals.
Every deliverable is reviewed
AI accelerates the work. It does not replace the work. Every document, SOP, automation, training module, or Claude project we deliver goes through human review before it reaches you. Mary Graves' Fortune 500 operations experience, professional judgment, and knowledge of your specific business context shape the final output. The AI is a drafting partner, not the deliverable itself.
What AI is good at, and what it isn't
AI is strong at drafting, structuring, summarizing, and surfacing patterns. It is weak at context it wasn't given, legal nuance, numbers that must be exact, and situations where the right answer depends on relationships and history the AI can't see.
That's why our framework puts automation before AI. Rules-based logic handles the repeatable work. AI is brought in where human judgment is genuinely required, and we stay in the loop on those calls.
Your responsibility
AI-assisted deliverables are a starting point for your business, not a finished legal, financial, or regulatory document. Before you rely on any AI-assisted output for a decision that carries real risk, please review it yourself and, where appropriate, run it past your attorney, accountant, or industry-specific advisor. You know your business better than we do and better than any tool does.
Confidentiality and your data
- We use AI tools on configurations with data protections in place, including settings that do not train on your content.
- We do not paste client financials, client lists, or protected personal data into free or consumer-tier AI tools.
- Client documents and email live in Microsoft 365 (Outlook) on a business-tier configuration. Access is limited to what is needed for the engagement.
- If your work involves regulated data (HIPAA, FERPA, PCI, client trust accounts, etc.), tell us up front so we can agree on the right tool stack before any AI touches it.
Training materials and public content
When AI helps generate content for workshops, social posts, blog articles, or free guides, the final voice, structure, and claims are ours. We do not pass off AI-generated output as our own original research. If we cite a source, we've checked the source.
Questions
If you want more detail on how AI is used in a specific deliverable, or you'd like a version of a deliverable produced without AI assistance, ask us. That's a reasonable request and we'll accommodate it. Email mary@marybehindthesystems.com.
This disclaimer is meant to be clear about how AI shows up in our work. It does not replace the service agreement signed for a specific engagement. Where the two conflict on a specific project, the signed agreement governs.
